A real project

Weekly subcontractor pay for a Minnesota moving company

Before

The company's twelve subcontracted crews each built their own weekly pay statement in a shared Google Doc. The owner then reviewed every one — running his own manual calculation for each sub, comparing it against what the sub had entered, and correcting the differences by hand. The resulting bills were re-keyed into QuickBooks.

It took about ten hours a week, it depended on two separate sets of manual arithmetic agreeing with each other, and the subs carried the data-entry burden with penalties for late or incorrect submissions.

After

The process is inverted. The company now prepares every statement automatically from its own pay data, and the subcontractors simply review and approve.

The weekly workload dropped from about ten hours to four at most, and the duplicate manual calculations that produced the errors are gone entirely — there is now one source of the numbers instead of two that had to be reconciled by hand.

What the system does

  • Builds each subcontractor's weekly statement automatically from the company's own pay data — every job, calculation, tip and deduction — as a clean, professional PDF
  • Emails each subcontractor a secure link to review their statement online
  • Lets subcontractors approve or request a change in one click. No data entry on their end, no email chains, and every request tracked
  • Routes change requests to the bookkeeper for a decision, then automatically issues a revised statement for the sub to approve
  • Finalizes approved statements into a signed invoice PDF, sent to the subcontractor for their records
  • Produces a QuickBooks-ready bill file, coded to the right vendor, account and class — no re-keying
  • Sends the owner one weekly summary of every approved statement for payment sign-off
  • Keeps a complete audit trail of who approved what, and when

The result: six or more hours back every week, no more double calculations, no re-keying into QuickBooks — and subcontractors went from building their own statements to simply reviewing them.

Nothing to replace, nothing new to train everyone on, and no subscription that holds your process hostage.

Most projects run four to twelve weeks from first conversation to fully live, depending on how many systems are involved. The moving company project above was built and tested in stages, running alongside the old process until it was proven, then switched over completely.

How much does a process improvement project cost?

Every project is quoted as a fixed price in writing before any work begins, after we have walked through your current process and know what we are actually dealing with. There is no hourly meter and no open-ended engagement. As a rough sense of scale, most projects run four to twelve weeks from first conversation to fully live, depending on how many systems are involved. Do I have to switch accounting systems?

No. We do not replace your accounting system — we build around QuickBooks and the tools you already use. The work is connecting and streamlining what you have, not migrating you onto something new. See the platforms we work in.

What happens if the new process does not work?

We don't switch you over until it's proven. New processes run alongside the old one first, so you can compare the two on real data before anything is turned off. That's how the subcontractor pay project below was built — in stages, running in parallel, then switched over completely once it held up.

Who owns what you build?

You do. We don't sell software subscriptions, and there is no licence that stops working if you stop working with us. What we build for your business belongs to your business.

Is this only for existing bookkeeping clients?
